Kailing Technology signs with Tongfei Shares to implement fully digitalized e-invoicing, three-way matching, and electronic accounting archive platform construction
For an industrial temperature control device, from material procurement and warehousing acceptance to production delivery, purchase orders, invoices, sales records, and accounting materials are generated along the way. The richer the business, the more invoices and documents need to correspond along the same chain. Recently, Beijing Kailing Technology Co., Ltd. signed a software product and implementation services project with Sanhe Tongfei Refrigeration Co., Ltd., covering fully digitalized invoicing, input VAT invoice management, and comprehensive electronic archives management. The project uses sales invoicing, procurement invoice verification, and archive traceability as entry points, so that invoices have a business source, documents have a verification basis, and archives have a complete thread, driving close integration between manufacturing operations and business-finance-tax management.
I. Tongfei Co., Ltd.: business-finance-tax collaboration needs in industrial temperature control manufacturing
Tongfei Shares was founded in 2001 and is headquartered in Sanhe, Hebei. It is an industrial temperature control equipment enterprise listed on the ChiNext board of the Shenzhen Stock Exchange. The company focuses on the R&D, production, sales, and service of industrial temperature control equipment, and its products and solutions are used in CNC equipment, power electronics, energy storage, semiconductors, data centers, and other fields. Different application scenarios bring diverse procurement materials, delivery methods, and customer invoicing requirements.
For manufacturing enterprises, the sales side needs invoices to accurately carry business information; the procurement side needs to verify whether supplier invoices correspond to real purchases and warehouse receipts; the finance side also needs to store invoices, vouchers, and related materials in an orderly manner for subsequent queries and audits. Digitizing only one link—invoicing, invoice receipt, or archiving—may still mean cross-department verification falls back on emails, spreadsheets, and manual searching.
This cooperation brings the three links into the same project plan. Kailing Technology will organize implementation for Tongfei Co., Ltd.'s manufacturing business based on the VAT output invoice management system, the VAT input invoice management platform, and the comprehensive electronic archive classification maintenance management system. The three product types respectively handle invoicing, invoice verification, and archiving needs, enabling sales, procurement, finance, and archive management staff to find the basis, confirm status, and handle issues along the same transaction.

II. Fully digitalized invoicing: linking sales delivery with output VAT invoices
For sales invoicing of industrial temperature control equipment, the concern is not just "getting the invoice issued." The customer title, equipment name, specification and model, quantity, amount, and delivery information need to be consistent with each other; when delivery or invoicing arrangements change, sales and finance must also see the processing progress of the same transaction. When information is scattered across business documents and the invoicing side, problems such as duplicate entry and repeated communication on invoice verification easily arise.
Kailing Technology will use the VAT output invoice management system to handle fully digitalized e-invoicing needs, organizing the process around invoicing data receipt, invoice verification, invoice issuance, and result query. Business staff provide the transaction basis, finance staff verify the invoice content and invoicing status, and invoice results are then linked to the original business records, making the process from sales delivery to output invoicing traceable.
After the project is completed, sales and finance can verify the invoicing basis, invoice content, and invoicing results around the same transaction, reducing duplicate entry and repeated confirmation; when there are invoice content issues or status changes, they can also locate the step along the business records and handle it promptly. For manufacturing enterprises with many equipment categories and varying delivery arrangements, fully digitalized e-invoicing thus becomes a traceable sales delivery step, providing a consistent information foundation for customer reconciliation, financial review, and output VAT tax management.

III. Three-way matching: procurement, warehousing, and input VAT invoices corroborate each other
On the supply chain side, invoices also cannot be processed separately from business facts. Industrial temperature control equipment involves procurement of electromechanical components, piping, heat exchangers, and other materials: purchase orders record what was ordered, inbound or acceptance receipts record what was actually received, and input VAT invoices issued by suppliers record the settlement content. If the materials, quantities, and amounts of the three do not match, finance needs to promptly identify at which step the discrepancy occurred.
Around the input VAT invoice management construction for Tongfei Shares, Kailing Technology will make supply chain "three-way matching" a key scenario, promoting the establishment of reconciliation relationships among purchase orders, inbound or acceptance records, and input VAT invoices. Matching documents form clear business correspondence; discrepancies enter review processing, enabling procurement, warehousing, and finance to communicate around the same purchase rather than searching for evidence across multiple folders.
The input VAT invoice management platform can also handle invoice collection, recognition, and centralized management needs. Orders, warehousing records, and invoices corroborate one another, extending invoice review to verification of procurement facts and settlement content: when there are differences in quantity, amount, or material information, finance has evidence to check, and procurement and warehousing have clear objects for re-review. Problems are identified before entering subsequent financial and tax processing, laying a foundation for voucher linking and archive collection.

IV. Electronic accounting archives: invoices and vouchers form a traceable material chain
Issuing or receiving an invoice does not mean the business-finance-tax process is over. Input and output VAT invoices, purchase and sales documents, accounting vouchers, and other materials still need to be organized and retained by category. When paper and electronic records run in parallel and attachments are scattered, checking the business basis for an invoice or retrieving the complete materials for a transaction often still requires searching item by item across systems.
The comprehensive electronic archive classification maintenance and management system in the project will serve the classification, collection, linking, and retrieval of electronic accounting materials. Kailing Technology will combine front-end invoice management to sort out the correspondence between invoices and related business documents and accounting vouchers, so materials remain traceable from creation to archiving. For paper materials and existing documents, the project product also includes OCR recognition capabilities to support material collection and classification.
The construction of electronic accounting archives will advance from "can be stored" to "can be found, can be checked, and can be traced." Finance staff can trace back from vouchers to invoices and business bases, archive management staff can organize access by category and permission, and audit verification can more easily restore the data context of a transaction. Kailing Technology will configure management processes around receipt, organization, custody, and authorized access, allowing fully digitalized e-invoices and accounting materials to continue to deliver value in subsequent queries, reviews, and management.

V. Construction value: connecting the manufacturing business-finance-tax-archive management chain
This cooperation covers three product directions: output VAT invoices, input VAT invoices, and comprehensive electronic archives. Kailing Technology will separately carry out deployment and implementation, function configuration, interface and scenario integration testing, user training, and acceptance support, and verify business processes starting from real documents and actual positions: sales staff check delivery against invoicing, procurement and finance check orders, acceptance, and input VAT invoices, and archive management staff check data completeness and access permissions.
After the three directions work together, invoices on the output side have a basis in sales delivery, invoices on the input side have a basis in procurement and warehousing, and vouchers on the archive side have a basis in source materials. Clear correspondence is formed among business, invoices, and accounting materials, supporting cross-department collaboration, discrepancy localization, financial review, and audit traceability, and providing support for maintaining consistent management standards as enterprises continue to expand business scale.
Kailing Technology will use product capabilities covering input and output invoices and electronic archives, combined with implementation experience in manufacturing scenarios, to translate tax rules, supply chain documents, and archive requirements into executable system processes. As the project progresses, fully digitalized e-invoicing, three-way matching, and electronic accounting archives will together form a more coherent business-finance-tax-archive management chain for Tongfei Shares.
