After a company receives a fully digitalized e-invoice, must it print and save it?

Published: 2024-06-03 17:17

After receiving a fully digitalized e-invoice, do you need to print and save it?

Whether fully digitalized e-invoices need to be printed and saved depends on the reimbursement, recording, and archiving process requirements of the receiving enterprise.

If the receiving enterprise adopts paperless reimbursement, accounting, and archiving, there is no need to print the fully digitalized e-invoice; the XML file of the fully digitalized e-invoice can be directly used for reimbursement, accounting, and archiving.

If the receiving enterprise requires paper documents for accounting and archiving, in addition to keeping the paper invoice, the XML-format electronic file must also be kept.

Note! Whether or not the fully digitalized e-invoice is printed, the XML-format electronic file containing the digital signature of the fully digitalized e-invoice must be retained.

Instructions for using the fully digitalized e-invoice format

The 3 common delivery formats for fully digitalized e-invoices—PDF, OFD, XML

1.PDF (can be printed but cannot be archived)

PDF is mainly used for displaying or printing fully digitalized e-invoices, because PDF files can maintain the original document format and ensure the format does not change when opened on different devices and operating systems.

However, PDF is not the source file format of fully digitalized e-invoices. It does not support verification of the validity of the invoice supervision seal and electronic signature, and cannot be directly archived as a valid booking voucher!

2.OFD (can be printed and archived)

OFD can be opened in the "VAT Electronic Invoice Format File Reader" and supports verification of the validity of the invoice supervision seal and electronic signature

3.XML (cannot be printed, can be archivedMust have

XML is the standard format for the original invoice voucher of fully digitalized e-invoices! When opened, it is a string of code and cannot visually display invoice information.

It is an important basis for verifying the authenticity and compliance of invoices! By parsing the XML file, all invoice information can be obtained.

Common Questions
After receiving a fully digitalized e-invoice, must it be printed on paper to be reimbursed and posted?
Not necessarily. If the enterprise adopts paperless reimbursement, booking, and archiving, printing is not required; the XML file can be used directly. If paper booking is required, a paper version must be printed while the XML electronic file is also saved. Either way, the XML-format electronic file must be saved.
Among the three formats of fully digitalized e-invoices—PDF, OFD, and XML—which one can be directly used for archiving?
XML is the source file format of fully digitalized e-invoices and must be saved for archiving; OFD supports verification of electronic signatures and can also be archived; PDF is only for display or printing and cannot be archived as a valid bookkeeping voucher.
If I only print the PDF of a fully digitalized e-invoice and do not save the XML file, what problems will arise?
PDF does not support verification of the validity of the invoice supervision seal and electronic signature and cannot serve as a valid posting voucher. The absence of an XML file may make it impossible to verify invoice authenticity and compliance, failing to meet archiving requirements.
The XML file of a fully digitalized e-invoice opens as a string of code. How can it be used for reimbursement and bookkeeping?
Although XML files cannot visually display invoice information, they are the original invoice voucher containing all information. Enterprises can obtain data by parsing XML files for reimbursement, bookkeeping, and archiving to ensure compliance.
